Position Summary:
The Grants Manager oversees the full lifecycle of grantmaking, from application through reporting, for the Dave & Cheryl Duffield Foundation. This role is responsible for managing and continuously improving the Foundation’s grants management systems and workflows to support strategic goals.
The Grants Manager ensures legal compliance, effective grants budgeting, and accurate tracking within the Foundation’s Salesforce-based grants management system. Responsibilities include managing grant intake, conducting financial and legal due diligence on prospective grantees, supporting payment processing, and overseeing reporting requirements.
The Grants Manager also prepares grant authorizations, award letters, and general correspondence with grantees.Additionally, this position contributes to long-range planning and supports the execution of other Foundation programs and initiatives.
The ideal candidate is highly detail-oriented, is collaborative, has strong project management skills, is proficient in Salesforce grants management systems, and demonstrates a passion for philanthropy.
Key Responsibilities:
Grants Operations & Salesforce Grants Management
• Manage the full lifecycle of grants within the Foundation’s Salesforce system, including application intake, review coordination, award processing, and post- award monitoring
• Process grant agreements and support payment execution, reporting, and recognition requirements
• Respond to grant-related inquiries via phone and email, including management of the Grants@DuffieldFoundation.org inbox
• Serve as the primary point of contact for grantees regarding application processes and reporting requirements
• Maintain organized, accurate, and compliant grant records for both the Foundation and grantees
• Manage data entry, workflows, and system enhancements to optimize Salesforce functionality and user experience, including maintaining and updating backend configurations such as objects, fields, validation rules, user permissions, profiles, and automation tools
Data Integrity & Reporting
• Ensure quality, consistency, and accuracy of all grant and grantee data
• Track and ensure completion of grantee reporting requirements, including narrative and financial reports
• Review grantee reports and prepare summaries on the findings for internal stakeholders
• Develop and maintain dashboards and reports to track grantmaking activities and performance
• Generate regular reports for internal teams, leadership, Board of Directors, audits, and financial planning
Compliance & Risk Management
• Ensure adherence to internal policies, legal requirements, and best practices
• Support due diligence processes, including financial and legal vetting prospective and current grantees
• Maintain strict confidentiality and proper documentation of Foundation and grantee information
• Comply with all Federal, State, and Local safety regulations and laws as well as Foundation policies and guidelines
Process Improvement & Systems Optimization
• Streamline, document, and continuously improve grantmaking processes and workflows
• Identify and implement process improvements to increase efficiency
• Stay current on best practices in grants administration and philanthropy
General Responsibilities

Required Qualifications:
• Bachelor’s degree or equivalent experience in a related field
• Minimum of 3-5 years of experience in grants management, nonprofit operations, or philanthropy
• Minimum of 3-5 years of experience using Salesforce, preferably with grants management, as well as experience with backend system configuration, including managing objects, fields, user permissions, and automation tools
• Strong project management and organizational skills
• High attention to detail and accuracy
• Excellent written and verbal communication skills
• Ability to work independently and collaboratively
• High integrity and ability to handle confidential information
• Experience working within a private foundation or grantmaking organization
• Familiarity with nonprofit financials and compliance requirements
• Knowledge of grantmaking framework and best practices
Working Environment:
• This position requires an in-person presence at the Foundation office in Incline Village, NV
• This position may be required to perform other duties as requested, directed, or assigned
Compensation & Benefits:
• Competitive salary commensurate with experience
• Comprehensive benefits package
• Salary range $78,000 to $88,000 annually, depending on qualifications
